DocSpring vs PDFMonkey

Compare two Liquid-based HTML template services, one of which also fills existing PDFs.

Our take

Of the services we compare, PDFMonkey and DocSpring are the two that store HTML/CSS templates with Liquid, so an invoice template moves between them with little change. PDFMonkey is cheaper at low volume, has a visual builder, excellent webhooks, and official connectors for Zapier, Make, n8n, and Pipedream. For a small European team generating invoices from an automation tool, it is a sensible pick.

The differences are scope and compliance. PDFMonkey explicitly does not import existing PDFs, has no forms, no signing, no embedded editor, no batch, no S3 delivery, EU hosting only, and no SOC 2 or HIPAA. Its cheapest plans keep documents for one day. Choose PDFMonkey for inexpensive HTML-only generation inside the EU. Choose DocSpring if you fill PDF forms, need US hosting or SOC 2, collect data or signatures, or want your PDFs delivered to your own bucket.

Working with Liquid templates

PDFMonkey and DocSpring both support HTML/CSS templates with Liquid, so they can look similar for invoices and reports. PDFMonkey also offers a visual builder. DocSpring adds a separate workflow for filling existing PDF forms and collecting data or signatures against those fields.

If you only need HTML-generated PDFs, compare the editor, template filters, output handling, and plan limits. If your application also receives fixed PDF forms from customers, that workflow is not available in PDFMonkey.

Choose DocSpring for HTML documents and existing PDFs

You want Liquid templates for invoices alongside PDF field mapping, embedded forms, and signing. Published template versions let applications control when a layout change reaches production.

Choose PDFMonkey for its template and automation workflow

Its HTML or visual editor fits the people maintaining your documents, and its integrations fit your automation. Check retention and download-link behavior if files need to remain available after generation.

HIPAA compliance Yes HIPAA compliant. Sign a BAA before submitting protected health information; contact [email protected]. No No HIPAA compliance or BAA is published.
ISO 27001 No Not certified. DocSpring's security controls are audited under SOC 2 Type II. No The compliance page states PDFMonkey does not hold ISO 27001.
Automatic document deletion Yes Set an expiry per template for submission data, generated PDFs, and uploaded images. Yes A per-template TTL from 5 minutes to 1 year, within the plan's retention limit.
US and EU hosting Yes Choose the US or EU service region. Conditions apply: EU only All infrastructure runs on AWS in the Paris region. No US region is offered.
Self-hosting Yes: Enterprise Self-hosted enterprise licenses are available. Not published No self-hosted option is published. PDFMonkey is offered only as a hosted service.

"Not published" means the vendor's public materials do not say either way, usually because it is handled on request. A dedicated integration is different from connecting an API through a generic HTTP action. Plan requirements and product boundaries are noted in the cells.

Generate an invoice and save it before the link expires

Use the same customer and line-item data in both services. In addition to checking the PDF, test how your application obtains and stores the finished file.

In DocSpring

Create an HTML template with a Liquid loop and a schema for the input data. Preview the invoice, publish the template, and submit the customer record.

Use the synchronous response's download URL, or generate asynchronously and handle the webhook. Configure S3 delivery if the output should go directly into your own bucket.

In PDFMonkey

Create a code template with HTML/CSS and Liquid, then submit its ID and payload. Use the synchronous endpoint or create the document in pending status for background generation.

On completion, download the file using its temporary URL. The document's storage lifetime and the URL's validity are separate: fetch a fresh URL through the API if the document still exists but its link has expired.

A Liquid template to try in DocSpring

This invoice uses DocSpring's currency filter. Define customer_name and items in the template schema, then send the test request.

<h1>Invoice for {{ customer_name | escape }}</h1>
<table>
  <tr><th>Description</th><th>Amount (USD)</th></tr>
  {% for item in items %}
    <tr>
      <td>{{ item.description | escape }}</td>
      <td>{{ item.amount | currency }}</td>
    </tr>
  {% endfor %}
</table>
curl --fail-with-body \
  "https://sync.api.docspring.com/api/v1/templates/${DOCSPRING_TEMPLATE_ID}/submissions" \
  --user "${DOCSPRING_TEST_TOKEN_ID}:${DOCSPRING_TEST_TOKEN_SECRET}" \
  --header 'Content-Type: application/json' \
  --data '{
    "test": true,
    "data": {
      "customer_name": "Mira Patel",
      "items": [
        { "description": "Annual inspection", "amount": 120 },
        { "description": "Replacement filter", "amount": 35 }
      ]
    }
  }'

Set the environment variables to your template ID and test API credentials. Accounts in our EU region send requests to sync.api-eu.docspring.com instead. The response includes a download URL for a watermarked PDF. See the request and response guide.

Test a delayed download as well as immediate generation. Your customer should not receive an expired link simply because an email was opened the next day.

Very cheap per document, with retention that scales with the plan

DocSpring

The Starter plan is $49 per month for 50 live PDFs, then 25c per additional PDF. Larger plans lower the per-PDF price. Every plan includes unlimited templates, users, and watermarked test PDFs, and there is a free trial with no card required.

See all DocSpring plans

PDFMonkey

PDFMonkey's free plan includes 20 documents a month with one day of retention. Starter is 5 euros per month for 300 documents, Pro is 15 euros for 3,000 with 7 days of retention, Pro+ is 60 euros for 5,000 with unlimited retention, and Premium is 300 euros for 60,000. Pay-as-you-go overage must be switched on and runs from 0.8 cents per document on Starter.

A document counts once regardless of page count. External images, fonts, and CSS need a paid plan, and share links need Pro+ or above.

PDFMonkey pricing page

For 3,000 invoices a month, PDFMonkey's Pro plan is 15 euros with 7 days of retention. DocSpring's Business plan is $249 per month for 5,000 PDFs, with retention you set per template and delivery to your own S3 bucket. If you only render HTML in the EU, PDFMonkey is much cheaper. If you also fill PDFs, need US hosting, or need SOC 2, PDFMonkey is not an option at any price.

Moving PDFMonkey templates to DocSpring

Copy the HTML, CSS, fonts, and representative JSON payload. Review Liquid filters and extensions rather than assuming the templates are identical. Currency, dates, barcode helpers, and asset URLs are useful places to start.

Create a DocSpring schema for the input data and compare short, empty, and multi-page outputs. A visual-builder template needs to be recreated as HTML/CSS or a fixed PDF; it cannot be pasted into a Liquid editor.

Replace document IDs, webhook event handling, and download logic with DocSpring submissions. Preserve your existing PDF archive before changing retention settings or closing the old account.

Questions about PDFMonkey alternatives

Will my Liquid template work without changes?

Most markup and basic loops transfer, but each service has its own filters and rendering settings. Check the values and the output, especially custom filters, fonts, and headers or footers.

Does PDFMonkey only have an HTML editor?

No. Its current documentation includes a visual builder as well as code templates. DocSpring offers HTML/CSS editing and an editor for mapping fields onto existing PDFs, which is a different kind of visual editing.

Can PDFMonkey fill a PDF form I already have?

No. Its documentation says importing existing PDF or Word files is not supported. DocSpring lets you upload the PDF, drag fields onto it, and fill it from JSON.
